The role supports divisional operations by maintaining confidential databases, libraries of client presentations, development of client correspondences, marketing data, travel and tradeshow coordination, project management, tracking meeting notes and act as main administrative support for company Vice President.




  • Maintains office services by organizing office operations and procedures; correspondencse, filing procedures and executing clerical functions
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records
  • Maintains office efficiency by planning and implementing office systems, layouts, and supply procurement
  • Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends
  • Contributes to team effort by accomplishing related results as assigned
  • Other duties as assigned




  • Ability to work under pressure and meet deadlines
  • Attention to detail
  • Proficient with Microsoft Office Suite, especially Excel, Powerpoint, Word and Outlook
  • High comfort level with updating database and live internet systems
  • Team/collaborative spirit. Interface with Corporate Office daily.
  • Initiate, update, improve, and report - various Metrics and Performance Reports
  • Initiate and manage processes
  • Inventory control (office management, light industrial)
  • Strong organizational skills
  • Experience with Shipyards/Construction, Vendor, and/or Subcontractor relations, a plus
  • Interpersonal skills a must; throughout all levels of company and clients
  • Reliable. Discretion
